Pilot terms and privacy

The pilot
MyWrenchApp is in a free pilot. We’re inviting a small group of trade contractors and maintenance crews to use it for real work and tell us what to fix.
- Who can join: companies of any size, including one-person shops. Each company gets its own account.
- How many: up to 20 companies, in the order applications arrive. When the 20 are filled, we close applications.
- When: applications are open now. The pilot runs from December 1, 2026 to May 31, 2027. We may extend it, and we’ll tell you before it ends.
- Cost: free during the pilot. There’s no card to enter and nothing to cancel.
What to expect
- The app will change. We’ll improve screens, wording, and features based on what you tell us. We’ll try not to break the way you work, and we’ll tell you ahead of any big change.
- Your records stay yours and stay put. Design and feature changes don’t remove your work orders, fleet history, or other records.
- It’s a pilot. There may be bugs and occasional downtime, and we don’t promise any particular uptime. Keep anything you can’t afford to lose somewhere else as well, such as inspection paperwork.
Your data
What we collect
- When you apply: your name, email, company name, kind of work, crew size, message, and the internet address you applied from (to spot spam).
- Your account: each user’s name, email, and role. Passwords are stored scrambled so nobody can read them, including us. Two-factor secrets are stored encrypted.
- Your company’s records: what you enter, such as facilities, vehicles and equipment, mileage, services, work orders, and comments.
Who can see it
- People in your company, according to the roles your admins give them.
- Other companies can’t. Every record belongs to one company, and the app checks this on every request.
- John Adams, who runs MyWrenchApp, can see accounts to set them up and to help when something goes wrong. He doesn’t look at your records for any other reason.
- We don’t sell your data, share it with advertisers, or use it for marketing.
Where it’s kept
The app and its database are hosted by DreamHost in the United States. Sign-in and notice emails are sent through DreamHost’s mail service.
Cookies
Only the cookies needed to keep you signed in and protect forms. No tracking or advertising cookies, and no analytics services.
AI assistants (optional)
If someone in your company connects an AI assistant (Claude, ChatGPT, or Gemini), it can read and add records as that person, with only that person’s access. What the assistant does with that information is covered by the AI provider’s own terms. Each person can disconnect their assistant at any time.
Backups
Before the pilot starts on December 1, we’ll back up the database every night and keep the copies apart from the live server. We’re writing a fuller recovery plan during the pilot.
When the pilot ends, or if you leave
- You can leave any time. Just tell us.
- You can have a copy of your records, in a common format such as a spreadsheet.
- We delete your company’s data within 30 days of you leaving or the pilot ending, unless you choose to continue on a paid plan. Backup copies age out on their own schedule.
- If we end the pilot early, we’ll give you at least 30 days’ notice and a copy of your records.
The fine print
- Ownership: your company owns its data. We own the MyWrenchApp software.
- Fair use: don’t try to get into other companies’ data, attack the service, or use it for anything illegal. We may suspend an account that does.
- No warranty: the pilot is provided “as is,” without warranties of any kind. To the extent the law allows, we aren’t liable for lost data, lost profits, or indirect damages from using it.
- Changes: if we change these terms, we’ll email your company’s admins before the change takes effect.
- Governing law: these terms are governed by the laws of the State of Illinois.
